The Experiential Producer's primary responsibility is to develop comprehensive budgets, timelines, staffing, and operational plans to deliver immersive brand experiences. They are responsible for bringing unique creative concepts to life within budget constraints by managing relationships with vendor partners, internal creative teams, and account teams. This role reports directly to the agency VP of Production.

The ideal candidate for this mid-level position is a resourceful problem solver who prioritizes the "how" in their approach. They have experience providing innovative production solutions, fostering creativity, and collaborating effectively within teams. Demonstrated experience working with external vendors, fabricators, technology partners, and similar areas is highly valued. Effective communication skills and adaptability in a fast-paced environment are essential.
AREAS OF RESPONSIBILITY
A. Project Planning & Management
Contribute to the development of budget estimates, operational considerations, timelines, and scope parameters during concepting phase.
Collaborate with internal teams to support the creation of timelines that drive client, program management, and creative deadlines.
Assist in managing and reconciling budgets in coordination with stakeholders.
Assist in sourcing and managing multiple vendor partners including but not limited to fabricators, staffing partners, content development agencies, and freight carriers.
Develop training materials as well as supportive visual aids as needed.
Live event management including event installation, vendor staff coordination, run of shows, and field teams as needed.
B. Communication & Reporting
Provide timely and effective support to X-FCTR account, creative, and production teams through communication.
Proactively identify and escalate critical issues, including timeline convergence, budget oversights, and fabrication deadline concerns.
Collaborate with creative teams to ensure that production output aligns with the sold creative vision to clients.
Participate in negotiations with vendor partners to ensure they meet expectations and deliver their scope of work effectively.
C. Administrative
Follow X-FCTR policies and procedures outlined in the X-FCTR Employee Handbook.
Maintain a professional demeanor in all internal and external communications, including email and voicemail correspondence.
Safeguard content and collateral by ensuring they are stored on agency servers.
Respect meeting and conference call start times by being punctual and prepared.
SKILLS REQUIRED
Strong organizational skills, attention to detail, and a methodical approach to managing rapidly changing landscapes and priorities.
Excellent communication skills, including proficiency in presentation techniques.
Resourcefulness, a solution-oriented mindset, and a proactive approach to problem-solving.
Strong creative problem-solving and decision-making capabilities.
Ability to work both independently and collaboratively within a multidisciplinary team.
Proficiency in Microsoft Office, Google Suite, Slack, and other software applications essential for event planning and execution,
ADDITIONAL CONSIDERATIONS
Previous experience and expertise in live event logistics and management, mobile marketing, stage production, sound, lighting, security, talent coordination, and creative elements.
Familiarity with industry vendor partners and production techniques, especially in supporting the fabrication of mobile display elements.
An eagerness to learn, accept constructive feedback, and embrace growth opportunities.
Willingness to take on additional responsibilities or duties beyond the formal role to support the success of fellow team members and the agency as needed.
Flexibility in working hours and the ability to travel as required.
EDUCATION/EXPERIENCE PREFERRED
Four to six years of experience in an experiential marketing industry, with a preference for agency experience.
A B.A. degree (or equivalent) in Business Administration or a related field.
LOCATION (TIME ZONE)
Must work 9:00 am – 5:00 pm CST.
Fully remote position, required to work during regular business hours from 9:00 a.m. to 5:00 p.m. CST.
Flexibility to accommodate agency hours, which may include occasional work beyond standard hours, weekends, and additional schedule adjustments as needed.
Travel may be required on a program-by-program basis.
COMPENSATION
Full-time position (40+ hours per week) with employee benefits.
Salary commensurate with experience.
